A different brief, a different page
A leisure guest is buying a dream. You are shortlisting a supplier — often against a written brief and a budget per head — and you need to know within thirty seconds whether we can actually handle a group your size. So this page skips the itinerary poetry and answers the practical questions directly: capacity, lead times, meeting space, arrivals for a scattered group, dietary and accessibility requirements, risk planning, and how contracting works. If something below doesn't answer your question, that is what the form at the bottom is for.
Three Formats
Three Kinds of Group Trip
Each is planned differently, because each is bought for a different reason.
Incentive Travel
The reward trip for people who already know they perform
- Group size
- 15 – 60 guests (typically 30 – 45)
- Duration
- 4 – 6 nights
- Programme total per person
- From US$2,750 land only, typical 5 nights
Excludes international flights. Based on a typical group of 30 – 45 guests over 5 nights, twin/shared occupancy (single supplement on application) — the per-person figure falls as the group grows. Nightly rate: US$550 – 950 per person, per night.
This is not a holiday with a company logo on it. It needs one evening that no other supplier could replicate — a beach dinner lit by torches, a boat the whole group boards together, a chef cooking table-side for sixty. Group logistics matter as much as the set-piece moment: arrivals, transfers and seating plans that never let anyone feel like cargo. The commercial point is retention, which means the week has to feel like something the company could not have simply paid for off a shelf.
Where it tends to work: Works well on the islands — Koh Samui, Phuket — where water, a private boat and a beach setting do most of the work.
The Leadership Offsite
Half the value is the room, and half is what happens outside it
- Group size
- 8 – 25 people (a boardroom, not a conference)
- Duration
- 3 – 5 nights
- Programme total per person
- From US$1,800 land only, typical 4 nights
Excludes international flights. Based on a typical group of 8 – 25 people over 4 nights, twin/shared occupancy (single supplement on application) — the per-person figure falls as the group grows. Nightly rate: US$450 – 800 per person, per night.
A leadership offsite needs a genuine meeting space, not a lawn with a flip chart — fixed AV, connectivity that holds at the desk and not only in the lobby, and enough quiet that twelve executives can actually hear each other. The afternoons carry equal weight: a shared physical activity, a slow dinner without phones on the table, something that builds trust between people rather than fills a schedule. This is not a holiday with a whiteboard bolted onto it.
Where it tends to work: Works well in the northern hills — Chiang Mai, Chiang Rai — for the cooler air and genuine quiet, or a shorter private retreat outside Bangkok.
The Client Retreat
The host's own customers and partners, watching every detail
- Group size
- 10 – 40 people (hosts plus guests combined)
- Duration
- 3 – 5 nights
- Programme total per person
- From US$2,400 land only, typical 4 nights
Excludes international flights. Based on a typical group of 10 – 40 people over 4 nights, twin/shared occupancy (single supplement on application) — the per-person figure falls as the group grows. Nightly rate: US$600 – 1,100 per person, per night.
A company hosting its own clients or partners carries the highest reputational stakes of the three. The host is being judged on every detail, all week, by the people whose relationship with the business the trip is meant to strengthen. Nothing can look under-planned — the airport pickup, the seating at dinner, who translates when. We build the schedule around the relationship being hosted, not around sightseeing for its own sake.
Where it tends to work: Works well split between Bangkok and a single island or northern leg, depending on what the guests are being shown.
What We Handle
The Questions a Procurement Brief Actually Asks
Capacity
Fifteen to sixty guests. Below fifteen, a bespoke leisure itinerary usually serves the group better; above sixty, we still plan it, but two full-time coordinators travel with the group rather than one.
Meeting Space, AV & Connectivity
Properties are shortlisted for a genuine meeting room, not a repurposed function lawn — fixed AV, connectivity that holds at the desk rather than only in the lobby, and a private space that seats the whole group without a hotel wedding running through the wall next door.
Arrivals for a Scattered Group
When forty people land from six cities across two or three days, arrivals are staggered by flight, each guest met individually at the gate, and the group briefed together the same evening — so day one starts as one group, even if the flights didn't.
Dietary, Accessibility & Observance
Every guest is surveyed individually before departure — allergies, halal, kosher, vegetarian, mobility needs, prayer timings — and that list travels with the group throughout, not just with the kitchen on day one.
A Named Point of Contact
One SALA coordinator is named to your event lead before contracts are signed, stays reachable on WhatsApp for the full trip, and is the same person from the first call through to the final invoice.
Risk & Contingency
A wet-weather plan for every outdoor evening, a same-day medical contact in each city on the route, and a rebuild plan for the day a delayed flight breaks the schedule — agreed with you in advance, not improvised on the day.
Contracting & Payment Terms
We contract directly with your company entity, not through a third-party agency. Standard terms are a deposit to hold dates, a balance due before arrival, and a written cancellation schedule agreed before anyone signs.
Site Inspections
For groups above twenty-five, or any client retreat, we recommend a site inspection before signing — either your team travelling to Thailand, or a video walkthrough we film against your brief.
Lead Times
Three to six months is realistic for the shortlist, contracting and per-guest logistics a group like this needs. Over the New Year period, or for incentive trips above forty, we ask for longer.
How We Price
One Figure, Land Only
We quote all-in per person, land only — one figure covering accommodation, ground transport, guiding, experiences, meeting space where relevant, and SALA's own on-site team for the length of the trip. Much of this industry works from a net cost plus a separate management fee of 15–25% on top; our figure already carries our margin, so there's no percentage added at the end and what you're quoted is what you pay. On-site staffing is included in that figure, not billed as an extra.
What moves the number: group size, season — New Year and Songkran carry premium rates — hotel tier, and how much of the programme runs on private charter versus shared transport. What's always excluded: international flights, visas, travel insurance and personal spend.
Forty guests arriving from six cities is not an itinerary. It is a system, and a system either holds or it doesn't. We build ours before anyone signs anything.
Before You Enquire
What We Need to Quote
Four things let us put together a real proposal rather than a placeholder one.
01
Dates
Confirmed, or the two or three windows you're weighing.
02
Headcount
A firm number, or the realistic range you're planning against.
03
Budget per Head
So we shortlist properties you'd actually approve, not ones you'd reject on sight.
04
Objective
Reward, alignment, or relationship — the reason for the trip shapes everything else.
